    Job Title: Administrative Support Specialist

    Location: Seattle Southside Chamber of Commerce/Success Foundation

    Job Type: Part-Time (24 hours per week, Tuesday, Wednesday, and Thursday, 8:30 am - 5:00 pm) Note: Work hours and
    days may fluctuate depending on event or project demands.

    Salary: $19.71/hr.

    Reports to: President and CEO

    Overview: The Seattle Southside Chamber of Commerce is seeking a highly organized and proactive Administrative
    Assistant to support our office operations and event logistics. This part-time position, requiring 24 hours per week, is
    ideal for someone with strong communication skills, attention to detail, and the ability to manage multiple tasks in a
    dynamic environment.

    Key Responsibilities:
    • Office Operations Support: Assist with day-to-day office operations, including scheduling, filing, managing
    correspondence, and maintaining office supplies.
    • Event Support: Provide logistical support for event planning and execution, including coordinating venue
    arrangements, preparing materials, and assisting during events.
    • Certificate of Origin Processing: Handle and process certificates of origin, ensuring all documents are accurate
    and compliant with relevant guidelines.
    • Maintaining Office Environment: Ensure a clean and professional office environment by organizing workspace,
    managing office upkeep, and setting up and tear down for meetings.
    • Weekly Staff Meetings: Run weekly staff meetings, including creating the agenda, taking detailed meeting
    minutes and maintaining an organized filing system for all meeting documentation.
    • Phone and Inbox Management: Answer phone calls, fielding and forwarding them to the respective staff
    members, and manage inbox inquiries by directing them to the appropriate team members.
    • Administrative Assistance: Support the President/CEO and staff with administrative duties, including meeting
    coordination and preparing documents.
    • Review and Action on Submissions: Review and take action on submitted events, job postings, and hot deals to
    ensure timely updates and communication with members.
    • Website and Membership Maintenance: Assist in updating and maintaining the Chamber’s website and
    membership accounts to ensure accurate and current information.
    • Supply Management: Monitor and order office supplies, ensuring that necessary materials are available and
    within budget.
    • Customer Service: Greet visitors, handle incoming inquiries, and provide general assistance to clients and
    members, maintaining a positive and professional demeanor.
    • Technology Troubleshooting: Provide basic IT support, such as troubleshooting office equipment (printers,
    copiers, etc.) and assisting staff with minor technical issues.
    • Project Assistance: Provide support on various projects by gathering information, conducting research, and
    assisting with project coordination tasks.
    • Invoicing and Mailers: Assist with invoicing and sending mailers, including letters and notices to members, and
    handle the monthly printing and mailing of invoices.
    Additional Duties: Responsibilities are not limited to those outlined in this job description. You may be required to take
    on additional tasks as necessary to support the success of events and the organization’s mission. This also includes:
    • Schedule Flexibility: Be prepared to adjust working hours to support events outside of standard business hours
    as needed. The Seattle Southside Chamber of Commerce is a flexible workplace. This role will require in-office
    work as well off-site events.
    • Team Collaboration: Work closely with the Marketing, Membership, and Events teams to ensure cohesive
    planning and execution of events.

    Qualifications:
    • Proven experience in administrative support or a related field.
    • Strong organizational skills and attention to detail.
    • Excellent written and verbal communication skills.
    • Ability to manage multiple tasks simultaneously in a fast-paced environment.
    • Proficiency in Microsoft Office and other office management tools.
    • Ability to work independently and as part of a team.

    Compensation and Benefits:
    • Hourly wage of $19.71/hr.
